Hospitality Program 2026
Our program is a hands-on Cultural and Hospitality Exchange designed to provide a deep dive into the world-renowned 'Ubuntu' spirit of South African hospitality. As a participant, your focus will be on cultural observation and the exchange of global service standards.
You will explore how local hospitality businesses integrate South African heritage into the guest experience, participate in traditional cooking and hosting workshops, and engage in dialogue with local staff about cultural norms and community-led tourism. This is an educational journey intended to broaden your global perspective while sharing your own cultural background with the people you meet.

Our volunteer accommodation and work base is Whitefoord, located on the beautiful KwaZulu-Natal North Coast (Dolphin Coast), South Africa.
This area is known for its beaches, warm climate, relaxed lifestyle, and friendly community.

Visa & Entry Requirements
Since our program focuses on cultural immersion, skill-sharing, and community insight, you should enter South Africa on a Visitor’s Visa (Tourist Visa).
When speaking with Immigration Officials at the airport, please describe your visit as a holiday for the purpose of cultural exchange and sightseeing.

Important: Please avoid using the term "work" or "volunteer" at the border, as these terms are legally linked to specific visa types for non-profit organisations. To ensure a smooth entry, focus on the travel and learning aspects of your trip.

Our Seasons
​
KwaZulu Natal's climate is generally quite warm and even the winters are mild. Much of this is owing to its subtropical latitude and its affiliation with the Indian Ocean. The capital city of KwaZulu Natal is Durban and this colorful city enjoys a relaxed atmosphere with roughly 320 days of sunshine each year.
The yearly temperature is 22.85ºC (73.13ºF) and it is 1.63% higher than South Africa's averages. Kwazulu-Natal typically receives about 106.56 millimeters (4.2 inches) of precipitation and has 159.63 rainy days (43.73% of the time) annually.
The seasons are as follows:

Spring September - October.
The rainy season is late November through December extending into January.
February is the hottest month with an average temperature of 25°C (77°F)
and the coldest is June at 18°C (64°F) with the most daily sunshine hours at 9 in August.
The wettest month is January with an average of 130mm of rain.

What to Pack
With roughly 320 days of sunshine each year, here’s a comprehensive list to help our guests pack for their beach holiday at the Dolphin Coast:

It's always a good idea to check the weather forecast closer to the travel date and adjust packing accordingly.
Whale Season
During the months of May through to November, hump back whales migrate from Antarctica on the onset of winter. The whales migrate along the east coast of south Africa through the coastal waters of Durban and through to the warmer waters of Mozambique and Madagascar to breed and give birth.
If you want to do some dolphin and whale watching, dolphins are spotted all year round and the best time of the year for whale spotting is between July and December, particularly between September and October.

Power Outages and Loadshedding (Black-Out)
​
Please note that South Africa’s electricity supplier, Eskom, has implemented loadshedding (scheduled power outages) for the foreseeable future. Many of our homes are not affected as they have a full solar system or inverter and battery system. Others are off-grid with a partial solar system or inverter and battery system, or a generator. Some have simpler provisions in place, for example battery powered lanterns, candles, gas stoves and a braai. Most have a UPS, ensuring that WiFi remains uninterrupted. It is worth noting that food safety standards confirm refrigerated food maintains freshness for a period of at least four hours with no power, so fortunately this is not an issue. The simplest way to plan around the loadshedding schedule is to download a phone app called EskomSePush.

Currently loadshedding is part of the South African experience; it is beyond our control and Luxury Coastal Escapes cannot be held accountable for any gap between our client’s expectations of a holiday homes’s loadshedding provision, and the actual provision. It is important that you consider what you will need during a spell of loadshedding and chat to your consultant to ensure your holiday has sufficient provision for your needs.

Roles, Expectations & House Rules
​
General Responsibilities
​
Volunteers act as support assistants to the permanent hospitality team and always work under guidance and supervision. Duties vary depending on guest occupancy, weather, and operational needs. This programme is designed to support operations — not replace professional staff.
​
Guest Support & Hospitality Duties
​
Volunteers may assist with:

Being available during guest arrivals and departures when required
-
Assisting with luggage handling
-
Helping prepare homes for guest check-ins
-
Setting tables neatly for breakfast, lunch, or dinner (where applicable)
-
Distributing fresh towels and amenities
-
Maintaining a courteous, discreet, and guest-focused attitude at all times
Guests always take priority, and professionalism is essential in all guest-facing situations.

Housekeeping Support
​
(Support role only – volunteers do not replace professional housekeepers)
​
Volunteers may assist, under supervision, with:

Laundry: washing, drying, folding, and organising linen
-
Bedding and towel changes
-
Light interior cleaning, including:
-
Window cleaning
-
Sweeping indoor and outdoor areas
-
Spot cleaning where needed
-
Luxury standards must be upheld at all times.
Outdoor & General Assistance

Volunteers may assist with:

Sweeping leaves and maintaining patios and pathways
-
General garden tidiness
-
Basic pool cleaning assistance and pool area checks

Feeding fish according to a set schedule
-
Checking and maintaining beach access pathways
-
Setting up and maintaining outdoor hose stations for rinsing guests’ feet
Work Schedule & Programme Structure

Volunteers work 5 hours per day, Monday to Friday

Work schedules are communicated in advance

Flexibility is required due to hospitality operations

Duties may change at short notice, especially during peak season
In return, volunteers receive accommodation, cultural exchange, and hands-on hospitality experience.
This is not paid employment.

Supervision, Communication & Teamwork

Volunteers report to the Operations Manager, Hospitality Coordinator, or House Manager

Daily tasks are assigned based on operational needs

Clear communication, teamwork, and asking for guidance when unsure are essential

Hospitality is a team effort — a positive, helpful attitude is expected
Standards, Behaviour & Conduct
Volunteers are expected to:

Be respectful, polite, professional, and discreet

Respect guest privacy and confidentiality at all times

Follow instructions from supervisors

Communicate openly and honestly

Respect cultural differences
The following are strictly prohibited:

Alcohol consumption during working hours

Disrespectful, unsafe, or inappropriate behaviour

Inviting personal guests onto the property

Sharing guest, homeowner, or security information
Any breach may result in immediate termination of the placement.
Uniform & Appearance

Branded apparel, if provided, must be worn when assisting guests
A professional appearance is essential in guest-facing environments.
Please note that we are not always able to provide brand-new shirts to volunteers. Where possible, we will first make use of recycled shirts from previous staff members. Alternatively, volunteers are welcome to bring their own plain-coloured shirts to wear while on shift.
Bottoms such as pants or shorts are welcome.
House Rules – Shared Luxury Home Living
To maintain privacy, comfort, and luxury standards, volunteers must adhere to the following:

Volunteers may not enter guest bedrooms or private areas unless instructed

All guest information is strictly confidential
Use of Shared Spaces

Volunteers are allocated designated living and sleeping areas

Shared areas must always be left clean, tidy, and guest-ready

Guest amenities (pools, beach equipment, entertainment areas) may not be used while guests are present unless expressly permitted
Cleanliness & Presentation

Personal areas must be kept neat daily

Shared spaces must meet luxury hospitality standards

Laundry facilities may only be used during approved times
Noise & Behaviour

Quiet hours: 21:00 – 07:00

No loud music, parties, or disruptive behaviour

Alcohol consumption is limited to non-working hours and must be responsible
Visitors & Overnight Guests

No personal visitors are allowed

Overnight guests are not permitted under any circumstances
Smoking & Substances

Smoking or vaping is only permitted in designated outdoor areas

Illegal substances are strictly prohibited
Security & Access

Access codes, keys, and security details may not be shared

Doors, gates, and storage areas must remain locked as instructed

Any lost, damaged, or broken items must be reported immediately
Failure to follow house rules may result in termination of the volunteer stay.

Guests & House Rules
​
Understanding and complying with our house rules will make for a comfortable and fun stay for everybody. Please treat our home with the same respect as you would your own home. We’ve put a lot of effort into making this a lovely space to be enjoyed by our guests.

BE RESPECTFUL
The staff are key to a successful holiday and the efficient running of your holiday home, please treat them with the utmost respect at all times. We will not tolerate our staff being treated badly.​
Regretfully our staff are unable to babysit, wash cars, do shopping/unpack shopping or anything besides their designated duties.
​
​
OCCUPANCY & VISITORS
The maximum number of persons occupying the unit at all times must not exceed the number of beds. A maximum of two guests per bedroom will be allowed unless the homeowner has provided extra beds.
Camping on the property is NOT permitted. Day visitors are allowed. Additional guests are NOT allowed to sleep on couches/sofas or mattresses unless otherwise arranged in advance. Any additional guests will be charged and will result in deposit deductions as per T&C's.

DONT FEED THE MONKEYS
Under any circumstances whatsoever do not feed the monkeys - mother or babies!
Please be aware of the monkeys they are inquisitive and can get very aggressive.
Don’t leave fruit out within sight of the monkeys – they will come in, make a mess, panic and break things.
Close all windows and doors when leaving the house.

NO SMOKING
No smoking is allowed in the house. Please smoke outside away from windows or furniture.
​
NO PARTIES
No parties, overcrowding or excessive noise is permitted. Failure to adhere to this will result in immediate eviction with no refund of rent.
Guests will be liable for all damages accrued by parties at our rental home.

​
BEACH TOWELS
Please do not use bathroom towels on the beach, beach towels are available.
​
​
NO BEACH SAND IN THE POOL
Wash the sand off before entering the house or pool after the beach visit.
Please do not wash your beach sand off in the pool.
​
​
LEAVE AS FOUND
Accidents happen, so please report any breakages or damage to our team. If anything is broken, this should be replaced ‘like for like’ by the Guest to ensure a full refund of the breakage deposit.

​
BE ENVIRONMENTALLY CONSCIOUS
Use linen and towels sparingly.
Please save water, and electricity and turn off fans and Aircon when not using the area.
Please try and recycle where possible, let's look after our planet together.
Please do not flush any foreign matters down the toilet.

GUEST AMENITIES POLICY
We kindly ask that all guest amenities, such as hand wash or toiletries, remain in the property for the enjoyment of future guests. Should any items be taken or removed, the cost of replacement will be charged in full.
FIREWORKS PROHIBITED
For the safety of all guests and neighbours, fireworks are strictly prohibited on the property.
